As Power BI developers, we strive to follow best practices to create impactful reports and dashboards. However, there are times when we overlook certain critical settings or features that can significantly affect the quality and usability of our work. In this blog, we’ll explore one commonly missed practice and discuss why addressing them is so important.
Set Contact Information for Reports and Dashboards in the PBI service
Once the PBI report is published to the PBI service, the end users will get the chance to review and use the report. There can be some scenarios where they might need to contact the owner/ authorized person of the report for any clarification or queries. So in this blog, we will discuss how we can set the contact information for a published report in the PBI service and how the end user can find those details for contacting the author.
By default, the person who creates the report or dashboard is the contact person for the same. If we wish to change, we can do it in the PBI service as follows.
- Go to the workspace and locate the desired report
2. Select the more options( three dots) against the report -> settings

3. Give the contact person’s name in the “contact” field. We can give multiple users or groups as contact information. They can be
- A person
- A Microsoft 365 group.
- An email-enabled security group
- A distribution list.

4. Click on the Save button.
Now we have given the contact information for our published report. Let’s see how the end user can find those details.
The end user can find the details when they click on the name of the report/dashboard in the black header bar.

It is possible to send emails to the contact person for any query related to the report by clicking the contact name. When clicking the contact, the PBI creates an email like the one below. We can modify the email and send it to the respective person.

This is how we can set and see the contact information for the report that we published. The contact information is used in other scenarios like automated email messages related to access requests, error dialogue boxes etc. The same steps can be followed for setting contact information for the dashboards as well.
Summary
Clear communication between end-users and report owners is crucial for the success of Power BI reports and dashboards. Adding contact information ensures users can easily reach out for questions, clarifications, or feedback. By including these details in the Power BI Service, you enhance user experience, foster collaboration, and facilitate timely resolution of queries. This simple best practice helps streamline support processes and reinforces trust in the insights shared.
